A Quick Guide to Planning a Successful Corporate Event

The thought of planning a professional event can be daunting but that’s where the Melbourne Venue Company comes in. Our experienced functions team has years of experience planning successful corporate events, from business meetings and workshops to corporate dinners, launch parties and networking events.

Here are our top tips for planning a successful corporate event.

1. Set your budget and choose your ideal dates

Determine your event budget and decide on a few possible options for dates before looking at venues. These requirements will help event coordinators, such as the Melbourne Venue Co. team, provide you with the most relevant options for your event.

2. Choose your venue

Your choice of venue will dictate the ambience of your event, so think about the style of event you’re planning as well as more practical considerations such as the number of guests, facilities and budget. At The Melbourne Venue Company, we have a number of spaces ideal for corporate events of all sizes and of all budgets. Speak to our team about your requirements as soon as possible, to secure your venue for your preferred dates.

It pays to book ahead – especially at busy times of year for corporate events such as End of Financial Year and Christmas.

3. Send a save the date

Everyone has a full calendar, so send a short and sweet Save The Date email as soon as you’ve picked your date. You can send a more formal invitation once you’ve locked down the specific details of your event.

4. Arrange food & beverage packages

No matter what your style or budget, we can create the perfect food and beverage options for your celebration. Select from our delectable set menu or canapes menu curated by our experienced team of chefs. Choose a drinks package, tab or if you’re after truly memorable, our bartenders can work with you to create a bespoke cocktail.

5. Send invitations

One month out from the event, send an email with the invitation embedded into the text or attached as a PDF. Make sure to ask for RSVPs within enough time to finalise food & beverage package numbers and make name tags.

6.  Prepare name tags

Not only do name tags eliminate the dreaded name-blank when meeting lots of new people, they also create an easy way to see who did or didn’t attend, out of the RSVPS. Letting guests collect their name tags on arrival is also much faster than ticking names off a list, one by one.

7. Arrange speakers & entertainment

Whether that is a corporate speaker hired to entertain, inform and inspire or simply a representative from your organisation welcoming guests at the beginning of the event, it’s important to have someone speak to your audience at some point during your event.

8. Send a reminder

Within a week of your event, send a brief reminder email to guests who have RSVP’d.

9. Enjoy your event!

Melbourne Venue Co’s experienced team will take the stress out of event planning, and with pre-arranged food and beverage packages, there’s nothing for you to worry about on the day of your event. When you’re organising an event, it’s easy for the event to pass in the blink of an eye, so make sure to take time out to enjoy the event you’ve organised and network with your guests.
